Cohesie is now live with its first clients using Planningsagenda. Each month, new clients are migrated to Planningsagenda according to the schedule agreed with our Customer Success Managers. When it is time for your organisation to make the transition, your Customer Success Manager will discuss the implementation with you and coordinate the next steps.

What can we expect during the implementation phase?

Together with the project team, Cohesie has developed a detailed step-by-step implementation plan outlining what will happen and when. This plan will be discussed and shared with you during a kick-off meeting scheduled by your Customer Success Manager.In addition to the kick-off meeting, there will be several contact moments between professionals from both our organisations to establish the connection between the systems.If you would like more information, please contact your Customer Success Manager directly.

Question 3

We would like to switch to Planningsagenda as soon as possible. How can we arrange this?

Cohesie has prepared a provisional implementation schedule for existing clients. If you would like to know when your organisation is scheduled to make the transition, please contact your Customer Success Manager for more information.If you are a new Cohesie client, you will automatically be connected to Planningsagenda from the start. The previous system will therefore not apply to your organisation.

Which HR or absence management systems can be integrated with Planningsagenda?

Planningsagenda can be integrated with AFAS, SAP, Verzuimsignaal, Otherside at Work and virtually all other HR and absence management systems. This integration eliminates the need for manual work when onboarding a client into the absence management system and ensures that your client information remains up to date and secure. Cohesie has a dedicated project team that will guide the implementation and establish the connection with your HR or absence management system.To ensure a smooth transition to Planningsagenda, we will need the involvement of several colleagues within your organisation. Below are some suggestions for the roles we recommend involving in the process.Colleagues requiredTo ensure a smooth transition to Planningsagenda, we recommend involving the following people from your organisation:A central point of contact within your organisation who will work closely with Cohesie’s Customer Success Manager. This allows us to jointly monitor the overall transition and ensure everything is progressing as planned. This could, for example, be an HR manager.An IT specialist; for example, someone responsible for functional application management or the external supplier of your HR system. Your organisation will need to initiate their involvement. This allows us to work together to ensure the technical integration is implemented correctly.A communications specialist. This person can help determine from the outset what needs to be communicated, when and to whom, helping the transition to Planningsagenda run smoothly within your organisation. They can also prepare the necessary communication materials.

We currently have a document for integration. Will this remain available in Planningsagenda?

Planningsagenda uses separate portals for employers, managers and clients. These portals provide access to all documents made available by Cohesie professionals. Managers and other authorised users within the employer’s organisation can also create and upload documents, such as an action plan or first-year evaluation. Compared with the current situation, this provides our clients with greater insight and more functionality.If you also require a direct document integration with your current absence management system, please let your Customer Success Manager know so this can be included in the implementation from the outset.

How many users can I create in Planningsagenda?

There is no limit to the number of users per client in Planningsagenda. Each user is granted permissions based on a predefined role within Planningsagenda and can only access the employees they are authorised to view.

What is meant by an internal Planningsagenda key user?

We understand that questions may arise, particularly when your organisation first starts working with Planningsagenda. It is therefore useful to have a colleague within your own organisation, such as an HR contact or manager, who has a little more knowledge of Planningsagenda and can answer initial questions. If the key user is unable to resolve an issue, they can of course contact us for assistance. We will arrange information and training for the key user.

How does the process of entering into a Data Processing Agreement work?

A Data Processing Agreement is important in relation to the processing of client and employee data in our systems and compliance with the GDPR. The Data Processing Agreement will therefore also be discussed between Cohesie’s Customer Success Manager and the central point of contact within your organisation. As Cohesie operates as an independent label within the Zorg van de Zaak Network, the following applies.The SaaS application Planningsagenda replaces XpertSuite from Otherside at Work. As a result, all existing Data Processing Agreements will also cease to apply. Digitall Health, the trading name of Zorg van de Zaak ICT BV, acts as the processor for Cohesie’s clients in relation to the employer portal. This employer portal is provided as an application by ICT B.V., meaning that ICT B.V. acts as a processor for your organisation. ICT B.V.‘s services include managing the system and processing your employees’ personal data. A Data Processing Agreement must therefore be concluded between ICT B.V. and you as the client, using ICT B.V.’s standard Data Processing Agreement. Planningsagenda acts as a sub-processor for Zorg van de Zaak ICT BV.For more information, please contact your Customer Success Manager. If required, they can put you in touch with a colleague from our Legal Affairs department.
